EXHIBITOR INFORMATION

Thank you for your participation at the 2019 Advance Colorado Procurement Expo! We have prepared information to ensure a successful day for you and your company.

Attire for the 2019 ACPE is business casual or business.

TICKETS

All paid Buyers and Sellers receive two complimentary tickets to the Expo. Please register your second person here as an "Attendee" using the code EXHIBIT19 so we have your name in our system. Registration closes Tuesday, May 14, 2019 at noon. Please note that Resource tables include one registration.

PRE-EXPO WORKSHOP

All exhibitors are invited to attend a workshop on Wednesday, April 24th, 2019 from 10:00 am to 1:30 pm. The workshop will be held at the CDOT office at 2829 W Howard Pl, Denver, CO 80204. Workshop content will include how to exhibit, what to bring, what not to bring, suggestions for marketing materials, resources to access for printing and promotion, and much more.

DELIVERIES & SHIPPING

Unfortunately our venue cannot accept any deliveries ahead of time. You will need to bring your expo items with you when you arrive, or arrange shipping with your hotel or Denver office.

GROUND TRANSPORTATION TO EXPO VENUE FROM DENVER INTERNATIONAL AIRPORT

Denver International Airport is located approximately 25 miles from McNichols Civic Center in downtown Denver. It is advised to give at least one-hour travel time.

Regional Transportation District (RTD) - If you are coming from the airport, we encourage you to take the A-Line LightRail from DEN to Union Station. You may then take the Free Mall Ride shuttle to McNichols Civic Center. The train runs every 30 minutes and costs $10.50 each way.

Taxi Service - Taxi service between DIA to downtown Denver is approximately $55 one-way

Car Rental - If you are planning on renting a vehicle we suggest using: Hertz or Avis, Budget.

PARKING

The ACPE will offer complimentary $12 vouchers to park at the Cultural Center Garage at 65 W 12th Ave. These $12 vouchers, handed out at check-in, will cover up to 7 hours. These vouchers are limited and will be handed out on a first-come, first-serve basis. Be sure to ask for your voucher upon checking in.

Parking may also be found along the street around McNichols Civic Center and in a variety of other parking lots, including across the street at The Denver Post. However, only the Cultural Center Garage will take the $12 voucher. You can also use ParkMe to find available daily parking spots and pricing.

Please consider taking LightRail, RTD, or a ride share.

LYFT RIDE CREDIT

Lyft, our official ridesharing partner, can get you to McNichols without the hassle of parking. Download the app and get an affordable ride in minutes. New users, get $5 in ride credit with code ACPE19.

Code valid 15 days after application. New Lyft users only. Credit is good for up to $5 off your first 3 rides. Ride must start and end in the Denver coverage area. Subject to Lyft's Terms of Service.

LOAD-IN AND LOAD-OUT

Load-In:

  • Exhibitors will be able to start load in on Thursday, May 16th at 7:00 am.

  • Pull up to the southwest corner of McNichols Civic Center off Bannock Street and unload materials into the loading foyer. Immediately move your car away from the loading dock.

  • Come back to McNichols and go to Registration to check in, where you will receive your table number and event materials.

  • Use the freight elevator or stairs to take your exhibit items to the 2nd floor.

  • Load-in will finish by 8:30 am.

Load-Out:

  • EXHIBITORS MAY NOT LEAVE OR TEAR DOWN EXHIBIT TABLES UNTIL AFTER THE EXPO CLOSES AT 3:00 PM. EXHIBITORS THROUGH THEIR PARTICIPATION IN THE EVENT CONFIRM THEIR AGREEMENT TO THIS REQUIREMENT.

  • Exhibitors are to leave facilities in the same condition they were in prior to the event. Exhibitors shall remove all displays, materials, signs, banners and decorations prior to their departure.

  • Load-out will begin by 3:00 pm and finish by 4:00 pm.

  • Reverse the load in process.

  • We highly suggest you take the stairs if possible as the freight elevator will be in high demand during load out.

Early Load-In:

  • Early Load-In will be available on Wednesday, May 15th by confirmation email only.

    • Buyers and Resource Tables: 2:00pm to 3:00pm

    • Sellers: 3:00pm to 4:00pm

  • Email Katie at katie@katiepayerconsulting.com to request early load in.

CHECK-IN

Exhibitor Check-In will start on Thursday, May 16th at 7:00 am in the main foyer on the 1st floor of McNichols Civic Center. One Exhibitor Packet will be provided to the individual checking in with booth location. Sign-in is required to receive Exhibitor Packet.

Exhibitor Packet will include:

  • 2 Exhibitor Badges for your registered attendees

  • Expo Event Directory

  • Exhibit Table Location with Booth Number

BOOTH ASSIGNMENTS

Booth location will be provided onsite upon check-in on Thursday, May 16th. All booths will be located on the 2nd floor of McNichols Civic Center.

MEALS AND BEVERAGES

Beverages will be provided as well as breakfast for exhibitors only.

Lunch will be provided for all registered attendees.

TRAININGS / ONE-ON-ONES

Trainings will take place in the morning and afternoon (see schedule here). Trainings are free and all exhibitors are welcome to attend.

One-on-One's take place in the afternoon. Sign up will be done separately. Please look for an email regarding sign up by April 30, 2019.

BOOTH COVERAGE

The expo will remain open from 8:30 am - 3:00 pm. Each booth has two included tickets so we recommend you send two people so that your space can be covered during the luncheon, One-On-Ones, Corporate Roundtables and Training Sessions. You may leave items out on your table during those times you are not at your table as the Expo will be open through the day.

EXHIBITING

You will be provided with (1) six foot draped table, (2) chairs.

Exhibition space offered is limited to six- foot tables. Pipe, drape and backgrounds for hanging banners or signage are not provided. Due to space constraints we do not have room for large displays at your tables.

Exhibitors may use pop-up signage and banners as long as they fit behind the exhibitor table and are not obstructive per the fire code. Due to fire regulations banners cannot be placed in the aisle between tables or next to tables near fire exists. The ACPE reserves the right to ask for any over-size or obstructive displays to be removed. Table assignments are pre-determined and printed in our Expo directory. Exhibitors are not permitted to change table assignments without permission of event management.

It is prohibited to attach staples, tape, glue or nails to the walls, ceilings, furniture or fixtures of McNichols Civic Center. No items shall be posted on, taped, nailed, screwed, or otherwise attached to columns, walls, floors, doors or other parts of the building or furniture. Use of duct tape and distribution of promotional gummed stickers or labels is strictly prohibited. Exhibitors will be responsible for any damage incurred through any prohibited posting methods.

There will be 150 exhibitors on one floor of McNichols Civic Center with approximately 600 attendees. To stand out, consider bringing:

  • Pop up banners that can be placed behind the table (there will not be space on the side)

  • Highly visible signage to place on the table

  • All banners and signs must be professionally printed or computer generated. No hand-lettered signs or banners are allowed.

  • Easy to hold hand-outs

  • Giveaways

The venue cannot accommodate tents, canopies, or anything that extends in front of or to the side of the 6’ table.

Electrical Services

If you need light electric at your booth, please email Katie Payer by May 1, 2019 at katie@katiepayerconsulting.com. Electrical is available at no additional charge, subject to availability.

Those exhibitors who indicate ahead of time you will need power will be placed all together in one area that has power strips under all the exhibit tables. Exhibitors who do not share power needs ahead of time are not guaranteed access to a power outlet, and will not be provided with a power strip or extension cord.

McNichols Civic Center reserves the right to inspect all outside vendor equipment for safety and/or code compliance. All electrical equipment shall be “UL” listed and labeled.

INTERNET ACCESS

Free Wifi will be available throughout the venue.
